Scott Legal, P.C. focuses on business immigration cases for employers, investors and entrepreneurs, (E-2, EB-5, H-1B, EB-1, O visas, and L visas). We cover all areas of business Immigration Law for the Investor or Entrepreneur including E-2 Small Business Visas, EB-5 Investor Visas, employment-based immigration, permanent residence or green cards, Visas, & many other business immigration areas. In addition to the immigration services, the firm offers entrepreneurial support to the new business owners.
About the Position
We are seeking an office administrator to automate office processes, design filing and organizational systems and implement office-wide quality control procedures. Strong time management and organizational skills are essential as well as the desire to work with a small team to build efficient organizational systems (including paper filing systems and systems using office software and cloud-based systems (OneDrive and Dropbox)).
Duties will include:
- Designing and implementing office systems by establishing standards and procedures; Measuring results against standards; making necessary adjustments to make operations more efficient;
- Working with senior management, attorneys, paralegals and interns to keep systems updated;
- Tracking office needs, maintaining supplies of necessary equipment and ordering office supplies;
- Organizing all of the administrative activities that facilitate the smooth running of an office
- Other duties as assigned
We are looking for someone who has demonstrated skills building and maintaining organizational systems and working in a small team environment, has a positive attitude and work ethic, and pays attention to detail. An interest in immigration and business law is not required but experience working in a legal or law firm environment is preferred.
Our firm has a very high standard for our work product and client communication and we are looking for similar minded people. A typical work-week will be around 40 hours, but the focus of your evaluation will be on your output, the quality of the output and your attitude.
Bachelor’s degree or 5+ years or experience in an administrative position in a small office environment
Background with automation using information technology and willingness to embrace technology to automate processes is required. Past experience in this area is required as the office administrator will assist with technology aspects of the firm.
It is essential that the applicant has the ability to proactively deal with unstructured tasks with little or no supervision. Also, the applicant should have a demonstrated ability to drive tasks through to completion without a step by step explanation.
Knowledge of Spanish or other languages is a plus.
Prior experience working in a law firm or legal organization is not required, but is a plus.
2 weeks of paid time off annually.
Commensurate with experience.
